Budgeting is a simple exercise, writing down, how much money you are planning to spend every month for your business.
The Government of India tables a Union Budget every year before Parliament. Large companies do annual operating budgets before their financial year begins. Both are doing the same thing , planning future expenses so they can be monitored, compared, and controlled.
 Small and Medium Businesses should follow  the same discipline to become large organizations.

The Excel file contains four worksheets. Here is a summary of each:

Sheet 1: Business Expense BUDGET , Your Monthly Expense Plan
This is where you begin. Before the beginning of your financial year, you fill in how much you expect to spend under each category. The sheet covers 12 months from April to March, aligned with the Indian financial year. A yearly total column is automatically calculated on the right.
Expense categories covered in this sheet:

Each category has multiple sub-rows. Rows labelled 'Other' can be renamed to match your specific expense items. Nothing is locked , just click and type.
Sheet 2: Business Expense ACTUAL , What You Actually Spent
At the end of each month, your accountant or finance executive fills in the actual amounts spent under each line item. The structure mirrors Sheet 1 exactly, making comparison easy. Once updated, Sheets 3 and 4 automatically recalculate , no additional action required.
Sheet 3: Business Expense Variances , Auto-Calculated Gap Analysis
This sheet does all the maths for you. For every line item and every month, it calculates: Budget Amount minus Actual Amount. A positive number means you spent less than planned (favourable). A negative number means you overspent (unfavourable).

- Download the Excel file and save it in your company name and financial year (e.g., ABC Company Budget FY2026-27.xlsx).
- Open Sheet 1 (Business Expense BUDGET) and fill in your projected monthly expenses for each category. Start with the categories you are most certain about , payroll, rent, utilities.
- Rename any 'Other' rows to match your specific expense items. Add new rows if needed by inserting them within the existing category blocks.
- At the end of each month, ask your accountant to update Sheet 2 (Business Expense ACTUAL) with real figures from your books.
- Review Sheet 4 (Expense Analysis Dashboard) at your monthly review meeting. Discuss any categories with significant variances and decide on corrective action.
